Step 6: Download

E-mails and text messages are sent automatically after they are created, but a letter requires some additional work. When the letter is ‘sent’, it goes to the element ‘Sent’ of the Communication Application. This element gives an overview of all created letters.

To send a letter, first select the correct letter by clicking on the subject of the letter. You will then see an overview of the properties and how many beneficiaries are selected.

Download the letter

To download en thus be able to print the letter, click on ‘Download’ in the toolbar. Depending on the amount of beneficiaries, it is possible that the letter needs to be downloaded in multiple batches (one letter for each beneficiary). Click on ‘Download batch 1’ to download the first batch. Repeat this until all batches are downloaded.

If you do not want to download right now, you can click on ‘Back’ in the toolbar.

Generate labels

If the template you used has the address at the right place on the letter itself, and you are using envelopes with windows, you can directly put the letters in the envelopes and send them. However, if you do not use envelopes with windows, you can print the addresses on labels.

To make the labels, click on ‘Generate labels’ in the toolbar. Behind ‘Label’, choose from the labels you have created in Settings → Letter → Label. These settings determine the amount of labels on a page and the placement of the addresses on the labels.

You have also made settings for the address that will be placed on the label in Settings → Letter → Addresses

Then click ‘generate’ to download the labels.
