Manage subscriptions

A subscription is used as filter for the list of recipients to determine who receives mailings and text messages and who does not. It is the say that users have in what messages they want to receive or not. Opt-out subscriptions are subscriptions to which persons are automatically subscribed, and opt-in subscriptions are subscriptions to which persons have to subscribe themselves. You can also determine whether it is possible for people to unsubscribe for a subscription.

When you are composing a message, in step 1 (Properties) you are required to indicate the subscription on which the message you are sending is based. Only beneficiaries who have the chosen subscription will receive the message. This is managed and verified by the system.

Creating a subscription

Click ‘Add’. Then choose ‘Opt-in’ or ‘Opt-out’.

  • Opt-in subscription – Persons need to actively subscribe. Enter the name of the subscription and indicate whether people can unsubscribe. Click ‘save’ to confirm. The subscription has been created.
  • Opt-out subscription – Persons are automatically subscribed. A new opt-out subscription can only be created based on another opt-out subscription to ensure that people who unsubscribed in the past, are not suddenly subscribed again. Indicate based on which existing subscription you are creating the new subscription. Then enter the name of the subscription and indicate whether people can unsubscribe. Click ‘save’ to confirm. The subscription has been created.

For messages to an opt-out subscription without the option to unsubscribe, it is required to enter the reason for sending the message. This reason will appear on the bottom of the message, where users can normally find a link to unsubscribe.

Important! Only use this kind of subscription for messages with high priority/urgency that apply to all members. This subscription is not suitable for commercial purposes. When this type of subscription is used too much, you risk users marking your e-mails as spam, causing future mailings (regardless of the subscription) to go straight to many users’ spam folder. The person who marked your e-mail as spam will never receive any e-mails from you again. This means that you will be able to reach less and less people.

Edit subscription

Click  on the right side of the name of the subscription. You can change the name of the subscription and whether unsubscribing is allowed. After making the changes, click ‘save’.

Delete subscriptions

Click  on the right side of the name of the subscription. Confirm with ‘delete’ or cancel with ‘Back’.

View subscriptions and unsubscriptions

When you click on a subscription, you can see which users have made changes in their personal subscription. Of it is an opt-out subscription, you can when persons unsubscribed, and if it is an opt-in subscription, you can see when persons subscribed to it. If someone changes their subscriptions back, you can still see previous changes of that same person. Thus, it does not provide an overview of the status of each subscription, but an overview of all changes made by persons regarding the subscription. Use the search bar to look up specific persons. If a person does not appear in the list they are subscribed if the subscription is opt-out or unsubscribed if the subscription is opt-in.

When you click on the name of a subscription, you will see a table with all changes that have been made in the subscription. You will see the name of the user, whether they are subscribed and the date of the subscription/unsubscription. When you click on the name of a user, you can manually change their subscription status. Click ‘save’ to confirm.

Keep in mind that it is always more desirable to let the user manage their own subscriptions!

Export

It is possible to export an overview of all users who changed their subscription. The export document will also contain the user data as described in the Organization.

Click on ‘Export’ in the toolbar. Choose the file format in which you want to export the overview. You can choose from:

  • Excel (XLSX)
  • Excel XP (XLS)
  • Libre/Open Office (ODS)
  • CSV

Click ‘export’ to download the file.

Manage subscriptions as a user

All users can manage their own subscriptions on the 'my-subscriptions' page on the website. If you don't have this page on your website, you can request this by sending an e-mail to support@genkgo.nl. Users can also manage subscriptions via the link ‘Manage your subscriptions’ at the bottom of e-mails from the Communication application. In this link, they can indicate to which lists they want to be subscribed.
