Acceptance

Abstracts can be accepted or rejected in this element.

Overview

The element ‘Acceptance’ contains an overview of submitted abstracts and their status in five different tabs:

  • All – This tab contains a list of all submitted abstracts. The overview displays the title of the abstract, the status and the average score.
  • Thematic – In this tab, you can view per theme which abstracts are pending, accepted or rejected. When you click on this tab, you will see a list of all themes. Click on the theme of which you want to see the overview. The overview displays the title of the abstract, the status and the average score.
  • Accepted – This tab contains an overview of all accepted abstracts. These abstracts will be presented during the event.
  • Rejected – This tab contains an overview of all rejected abstracts. These abstracts will not be presented during the event.
  • Pending – This tab contains an overview of all abstracts that are still pending. For these abstracts it is yet to be decided whether they are accepted or rejected.

Accepting and rejecting abstracts

To accept or reject an abstract, click on ‘Acceptance’ in the toolbar. Behind ‘Abstract’, select one or more abstracts. Select the new status of the selected abstract(s) behind ‘Acceptance status’. You can choose between ‘accepted’ and ‘rejected’.

Click on ‘save’ to confirm. The abstracts will be moved to the tabs corresponding to the assigned status.

Export

With the ‘Export’ button in the toolbar, you can make an export to a spreadsheet of the abstracts in this element. Fill out the following fields:

  • Type – select one of the following file formats:
    • CSV
    • Excel
    • Excel XP
    • Libre/Open Office
  • Status – Select one or more statusses. For example, if you only want to export the pending abstracts, only select ‘Pending’.
  • Type – Select one or more abstract types to export.
  • Theme – Select the themes of which you want to export abstracts.
  • Link – Select this field if you want to link the submitters’ Organization profiles to the export.
  • Export set – If you selected the option ‘Link’, choose the export set that should be used. Export sets can be managed in the Organization Application.
  • Link parent object – If you selected the option ‘Link’, you can also choose to link parent objects (for example when the submitter is a contact person of a company).

Click on ‘save’. The file will now be exported.

Send confirmation to submitters

With the ‘Send confirmation’ button in the toolbar, you can send an e-mail to submitters to confirm the acceptance or rejection of their abstracts.

  • Select the language’ of the e-mail.
  • Enter the e-mail address and name of the sender.
  • Behind ‘Beneficiary’, indicate whether you want to e-mail the submitters of accepted or rejected abstracts.
  • Enter the subject of the e-mail.
  • You can send the e-mail CC to others, for example to other organizers of the event. Separate the addresses with a comma.
  • Write the content of the e-mail here.

Click on ‘send’ to send the e-mail.

Create dynamic group submitters

With the ‘Create dynamic group’ button in the toolbar, you can create a dynamic group of the submitters of accepted or rejected abstracts. This group will be placed in the Organization Application and is useful for the overview in the Organization and sending messages with the Communication Application.

  • Enter the name of the dynamic group.
  • Behind ‘Selection’, choose whether the group should include submitters of accepted or rejected abstracts.
  • Choose the location of the dynamic group in the Organization tree. Click on the plus sign in front of the root to unfold the tree.

Click on ‘save’ to confirm. The dynamic group will be created and can be found in the chosen location in the Organization Application.
