The ticket options of the event

The ticket options are the tickets that you sell for the event. For example, if your event takes several days, you could create a ticket option for each day of the event or certain combinations of days.

Create a ticket option

Click on ‘Create’ to create a new ticket option. You will see a new screen. First, enter the title, begin date and end date of the ticket option. Also enter your preferences concerning visibility and pricing and enter the venue information.

The number of availalbe tickets of the ticket option can be set under ‘Capacity’.

If the event has only one ticket option, the number of available tickets can be entered in the field ‘Capacity’.

If the event has multiple ticets, you will see the field ‘Capacity calculation’. This field has two options:

  • Own capacity – The ticket option has its own capacity. Enter the number of available tickets in ‘Capacity’.
  • Combine capacity with other tickets’ – With this option, the capacity of other selected ticket options will be combined with the current ticket options. This can be used for passe partouts: a ticket option in whith multiple other ticket options are combined. An example is an event with the ticket options ‘Monday’, ‘Tuesday’ and ‘Monday and Tuesday’. The last ticket option is the passe partout. This is also the ticket option where you would select this option. After selecting the option, you will see the field ‘Combine with’. In this field, select the ticket option with which you want to combine the capacity. In the case of the example, the ticket opions ‘Monday’ and ‘Tuesday’ would be selected.

Under ‘Reach capacity’, indicate what to do when the capacity has been reached. You have three options:

  • Do nothing – If you choose this option, no action will be taken when the capacity of the ticket option has been reached.
  • Activate notification list – If you choose this option, users get the opportunity to put themselves on a notification list when the maximum capacity has been reached. When a ticket becomes available, everyone on the notification list will be notified and can order the ticket on the website.
  • Activate reserve list – If you choose this option, users get the opportunity to put themselves on the reserve list when the maximum capacity of the event has been reached. When a ticket becomes available, the administrator determines who will get it.

You can see the persons on the reserve list in the tab ‘Reserve list’ and persons on the notification list in the tab ‘Notification list’ in the element Registrations → Tickets.

Click ‘save’ to confirm the settings you have made. Repeat this process until you have created all ticket options. When you click on an existing ticket option, you will see multiple tabs where you can make additional settings.

Configuration

After creating the ticket, you can make additional settings by clicking on the ticket option in the overview. You will then see three tabs: General, Website and Ticket.

General

This tab is similar to the settings you have already made. You can change these settings here.

Website

This tab has two elements: ‘Participants’ and ‘Content’. You can make a list of participants available on the website by selecting ‘Display names of participant on website’. You can also choose to display photo’s of the participants and make an ICS file (calendar file) available for download. Under ‘Content’, you can add a description of the event that will be placed on the website. If the event has only one ticket option, this description will be used as the general event information on the website. Click ‘save’ to confirm.

Ticket

In this tab, you can add text and images that should be displayed on the ticket. Click ‘save’ to confirm.
