Folders and groups: what's the difference?

In the Organization Application, you can add folders and groups to structure your administration. Although folders and groups might seem very similar at first sight, there is a big difference between the two.

Folders

Objects (persons, companies, members, etc.) always occur only in one folder. For example, members are in a folder called ‘Members’, former members in a folder called ‘Former members’, etc. Folders are the base locations of the objects in the Genkgo Organisation. In most cases, folders express the nature of the relationship between the objects in it and the community.

Groups

Groups often serve a more specific purpose, for example grouping registrations for an event, or members or a committee. As opposed to folders, objects can occur in multiple groups. A group can contain objects from multiple different folders. For example, you could create groups for different e-mail lists, courses, activities, years, etc.

In a nutshell: folders form the basis of the Organisation where each object occurs in only one folder, and groups should be used to further structure and specify the administration.
