Outstanding items

In the tab ‘Outstanding items’, you can find all sent invoices that were successfully categorized as direct debit invoices. All invoices that were sent recently, but also invoices with failed direct debits and invoices that are marked as reversed are included in this tab.

The overview displays the name of the relation, the invoice number, the invoiced amount and the invoice date. The total invoiced amount is displayed at the bottom of the overview. Click on the name of the relation to view the relation profile, and click on the invoice number to view the invoice itself.

Delete outstanding items

It is possible to delete outstanding items. When you delete an outstanding items, it will be deleted from this overview and it will not be included when you create a batch. This means that the invoiced amount will not be collected with direct debit. However, the invoice will maintain its status and can be found in the element with that status under ‘Invoicing’ in the Financial tree. If you decide to collect the invoiced amount later on, you can use the function Collect again.

Click on  on the right side of the outstanding item. Then click ‘delete’ to confirm.

Generate batch

The first step of collecting the outstanding items is generating a batch. From a batch, you can create a bank file, and the bank file can be uploaded to the bank to execute the direct debit.

In the tab ‘Outstanding items’, you can generate a bath of all current outstanding items. To do this, click on ‘Generate batch’. You will see a new screen with several fields. All fields are optional.

  • If you want to collect all outstanding items on the same date (and therefore overwrite the collection date on the invoices), you can choose a new collection date behind ‘Booking date’. Leave this field empty if you want to use the collection dates on the invoices.
  • Your direct debit contract with the bank may include a maximum amount or a maximum number of transactions within one direct debit. If this is the case, you can divide the outstanding items into multiple batches so that you can create multiple bank files. Enter a maximum amount of 1 batch or a maximum number of transactions in 1 batch.

Click on ‘generate’. The batch will now be displayed on your screen. The list in ‘Outstanding items’ will be empty.
