Processing with accounting – reconciliation
Once you have activated the accounting module, you can only use automatic processing.
Importing bank files
If you go to Bank Transactions and select one of the accounts you have created, you can choose to import digital statements at the top of the page. You need a bank file to process payments automatically. This is a CAMT.053 bank transaction file. This file is a bank statement: it contains all incoming and outgoing amounts. You can download the file from your online banking environment.
Uploading a bank file (statement)
Go to the ‘Bank transactions’ section. Click on the account number to which the payments were made.
Click on ‘Upload’ in the menu bar. Select the file format of the bank file behind ‘Type’. You can choose between:
- CAMT
- Zip of CAMT files
Upload the bank file behind ‘File’. Then click on ‘Import’. You will be returned to the overview of the bank account number. The uploaded statements will be displayed here. The first transaction date, the number of transactions, and the date are displayed for each statement. Processed statements can be recognized by a green check mark under “Processed.” If you have just uploaded a statement, this column will still be empty.
Process
Now you can select Process All at the top. This will process all transactions contained in the digital statements that have not yet been processed. You will then see all transactions one by one. For each transaction, you can choose how it should be posted. The system will automatically fill in any outstanding accounts receivable for you. In that case, the transaction will be automatically posted to the Accounts Receivable system ledger, and the correct invoice will be linked to the transaction. The process of linking an invoice to a bank transaction is called reconciliation. In the case of a direct debit, you will not see the individual invoices included in this direct debit, but rather how many items the direct debit consists of. In the case of a reversal, you will see the individual invoice.
Once you have processed all items, you will return to the overview of imported statements. The imported statements are now marked as processed. When you go back, you will return to all transactions posted to that bank account. Here you will see the bank balance as of the last transaction posted. Check online banking to ensure that this balance is correct as of the posting date.
