Invoice templates
With invoice templates, the invoices you are going to send will be drafted automatically and homogeneously. With a good invoice template, you only need to select relations and add invoice lines when you want to send an invoice.
If you frequently send invoices to relations for different purposes, we recommend that you create multiple invoice templates, for example a template for sponsors, an informal template for members and a special template for yearly contribution. It is also useful to create a separate template for invoices with direct debit if you use this.
Create an invoice template
Click on ‘Add’ in the toolbar. You will see a new screen with several fields.
General
Enter the name of the template. Make sure that you give the template a descriptive name so that you can easily recognize the purpose of the template later on, for example ‘Contribution template’ or ‘commercial template’.
Then you can choose a standard salutation for the invoice. You can choose between ‘Formal’ (madam/sir Initials Middle name Last name), ‘Informal’ (First name Middle name Last name), ‘Other’ (empty salutation where you can type something yourself) and ‘As recorded in Genkgo Organization’, where the forms or address from the Organization Application are used.
Invoice
Indicate the language of invoices with this template. The default language is Dutch.
If you want to send invoices by e-mail, you can set up the language and write the content of the e-mail here. NB: the salutation will be added automatically, so you do not need to add a salutation here. You only need to write the text itself. Example: “Please find your invoice in the attachment. Kind regards, ...”. Whenever you create a new invoice, you can edit the text of this e-mail specifically for that invoice. Creating this standard e-mail text makes it easier to quickly send an invoice to send by e-mail.
Reminder and exhortation
In these elements, you can write the standard e-mail texts for reminders and exhortations for invoices. You can also enter a prefix for the subject of the e-mail. This prefix will automatically be placed in front of the original subject of the e-mail. Example: “NB! Exhortation”.
Click on ‘save’. The template is now saved and will appear in the overview.
Edit an invoice template
Click on on the right side of the template in the overview. You will see the same fields as when you created the template. Make the changes and save these.
Delete an invoice template
Click on on the right side of the template in the overview. Confirm with ‘delete’ or cancel with ‘Back’.
