Step 2: Generate a collection order for the bank
In step 1, the invoices were created, addressed and sent. This means that the relations received an e-mail with the invoice attached. On the invoice, they can read what they have to pay and how. If payment is via direct debit, the amount will be written off their bank account.
To make collection possible, you have to make a collection batch of the sent invoices for the bank. Of this batch, a bank file can be created. By uploading this bank file to the bank, the collection order can be processed. The process has several standard steps:
- A collection item has been created from the sent invoices. In the Financial tree, click on ‘Collection’ top view the outstanding points.
- The tab ‘Outstanding items’, contains a list of all collection items yet to be collected. These are sent invoices of which collection has been successfully indicated as valid payment method. This tab contains all collection items, including those of earlier invoices.
- You can make a batch of all these collection items. This means that all collection payment orders can be executed by the bank all at once. To create a batch, click on ‘Generate batch’.
- Choose a collection date. It is also possible to divide the outstanding items into multiple batches. This is usefull when you have agreed on a maximum number of items or amount of money with the bank. Click on ‘generate’.
- When all items have successfully been processed, the list of outstanding items will be empty. Now go to the tab ‘Batches’ to view the created batch(es).
- Open the batch by clicking on the date.
- You will now see an overview of actions. To upload a batch to the bank, you need a file. To download this file, click on ‘Download XML (PAIN)’. The download will start immediatly.
- Locate the .XML (PAIN) file on your computer. You can now upload this file to the software of the bank to execute the collection.

- Execute the collection at the bank. In almost all cases, you can use online banking to do this. For futher instructions, we refer you to the documentation of the bank.
- After the collection has been executed, you can update the status of the collection in the Financial Application. Proceed to step 3A.
