E-mail automation for birthdays
To send an automated e-mail with birthday wishes to persons in the Organization, you need to create a dynamic group and an automated e-mail. Of course, you also need an existing field in the Organization containing the date of birth.
Follow the steps below to send automated birthday messages:
- In the Organization tree, go to the folder with the profiles to which you want to send automated birthday messages, e.g. ‘Members’.
- Perform an advanced search query. Go to the field containing the birthday and select ‘Birthday’. Then click ‘Search now’.
You will now see the search results (the query does not have any results if the day on which you perform the search query is nobody’s birthday, but you can still move on to the next steps). - In the toolbar, click ‘Groups’ and then ‘Create dynamic group’. Name the group (e.g. Birthdays), select the location in the Organization tree where the group should be placed, and click ‘Save’.
- Now go to the element ‘E-mail automation’ in the Organization tree. Click on ‘Messages’ and then on ‘Add’ in the toolbar. Choose ‘With condition’. Then fill in the properties of the e-mail, such as language, subject and sender information.
- Under ‘Based on’, you first fill in the type of profiles the message is meant for. Behind ‘Condition’, select ‘Added to folder/group’. Then fill in the correct group behind ‘Folder/group’. Behind ‘Send as’, choose ‘Each time the condition is met’ in order to ensure that persons receive a birthday message each year on their birthday.
- Under ‘Send to’, indicate the addressees of the e-mail, and then type the message itself in ‘Content’.
- Click ‘Save’ to create the automated e-mail. If you choose an active status of the e-mail (under ‘Properties’), the e-mail will be sent today to people who have their birthdays.
