Orders

This element gives an overview of all orders that were placed in the webshop. You can view orders in multiple overviews.

All orders

This overview shows all placed orders. The following filters are available:

  • Period – View orders from and until specified dates;
  • Status – The available options are:
    • Ordering – Orders that are currently being placed;
    • Cancelled – Orders that were cancelled by the Webshop administrator;
    • Failed – Unfinished orders, where a user stepped out of the ordering process;
    • Split – Orders that were split by the Webshop administrator, for example if a customer ordered multiple products;
    • Ordered – Orders that have not been paid yet;
    • Paid – Orders that have been paid;
    • Processed – Orders marked as processed by the Webshop administrator.
  • Payment method – View orders with a specific payment method;
  • Filter by order – Give the specific order ID to find the order.

Choose filters and click on ‘Update’ to see the search results. The results will appear in the table under the filter options.

Overview table

In the tab ‘All’, you will see a table with the orders according to the chosen filters. This table contains:

  • Order ID (#) – Unique number of the order.
  • Ordered on – Date of the order.
  • Customer – Name of the customer.
  • Amount – The amount paid for the order.
  • Payment method – The method that was used to pay for the order.
  • Status – The status of the order.

In the toolbar above the table, the options ‘Export’ and ‘E-mail’ are available:

Use this button to download a speadsheet of the search results.

E-mail

With the button ‘E-mail’ you can send an e-mail with an invoice to the persons who placed the orders. If an e-mail was sent in the past, you can select a template. You can also create a new e-mail. In the new template, enter the following information:

  • Name – Name of the template.
  • Sender e-mail – The e-mail address that you want to use to send the e-mail, e.g. ‘myadministration@mycommunity.com’.
  • Sender name – The name of the sender.
  • Subject – Subject of the e-mail.
  • Text – The content of the e-mail.

Confirm with ‘Send’.

Order details

You can view details of the order by clicking on the order ID or on the order date. You will see a new screen. Depending on the status of the order, a number of options will appear in the toolbar.

  • Invoices – View the invoices of the order. You can download the invoices in PDF format.
  • Cancel order – You can use this option to cancel the order. The status will change to ‘cancelled’.
  • Edit – Change the order. Here you can change the number of products and the shopping cart of the customer.
  • Mark as paid – Mark the order as paid. The status will change to ‘paid’.
  • Process – Mark the order as processed. This is for your own administration, for example to use when the order has been shipped or picked up.

Per product

This tab gives an overview of the orders by product. Use the search bar to look up a specific product. The general overview shows the number of orders that include the product (Orders), the total number of items that were sold (Ordered) and the turnover it yields.

Click on the name of a product to view a more detailed overview of the orders and customers that placed the orders.

Per customer

This tab gives an overview of orders by customer. Use the search bar to look up a specific customer. The general overview shows the number of orders that the customer placed (Orders), the number of products the customer ordered (Ordered) and the turnover it yields.

Click on the name of a customer to view a more detailed overview of the orders the customers placed.

Per payment method

This tab gives an overview of orders by payment method. The general overview shows the number of orders per payment method (Orders), the number of products per payment method (Ordered) and the turnover it yields.
