In the element ‘Privacy’, you can make privacy settings such as standard retention periods.

Retention dates for forms

When visitors fill out forms on the website, the entered information will be saved in the Admin. Often, this information does not need to be saved permanently. In these cases, it is convenient when the information is automatically removed after a certain period of time. In ‘Privacy’, you can set a standard retention period. This retention period applies to all forms. However, you can make exceptions for individual forms (e.g. member registration forms) by making a separate retention period when creating the form.

Deleting respondents

The first retention period you can create is for deleting respondents of a form. Select the period of time (do not delete, 1, 3, 6 or 12 months). After this period of time, respondents and all corresponding information will be deleted from the system.

Deleting forms

You can also set a retention period for forms. This means that the form and the page will be deleted after the set period of time, but the respondents will be kept in the Admin. For this retention period, you have the same options: ‘do not delete’, 1, 3, 6 or 12 months.

The retention period works as follows:

  • If the form has had respondents that are now deleted, then the moment that the last respondent was deleted is used to calculate the retention period. After the set period of time, the form and the page of the form will be deleted.
  • If the form has never had respondents, the date that the form was created is used to calculate the retention period.

Note that changing standard retention dates will also affect existing forms to which the standard retention date applies. If you want to change a standard retention period, make sure to check all existing forms. If necessary, give the existing forms their own retention periods before changing the standard retention period.

Anonymize statistics

The website keeps up with several statistics. Because of this, you can see the amount of visitors to the website, among other things. Under ‘Anonymize statistics’, you can set the period after which an IP-address and user ID have to be deleted. Available options are: ‘do not delete’, 1, 3, 6 or 12 months.

When all retention periods are set, click ‘save’ to confirm. You can always change the retention periods on this screen.
