Payment forms
If you have an active iDEAL link, you can convert a standard form to a payment form. If you do not yet have an iDEAL link but wish to use payment forms, contact Genkgo via support@genkgo.nl.
To convert a form to a payment form (for example, for an activity), go to the section ‘Payment’ on the main screen.
To active payment for the form, select ‘Activate’. Several new sections appear now, which are discussed below.
Product
Click on ‘Product’. The properties of the product can be entered here.
- Name – The name of the product.
- Price (ex. VAT)– The price of the product, excluding VAT.
- VAT percentage – The percentage of VAT on the product.
- Number of products – Select the field in the form that indicates how many products the user wants to order. This should be a selection field with numbers. If this field in the form is left empty, the amount will be ‘1’ by default.
- Transaction and transportation costs – Enter the one-time transaction and transportation costs of the product.
- Invoicing – If you want to send invoices in response to payments, you can indicate here if you want to link the form to the Financial Application. Depending on the choice you make here, other sections will appear.
Only ‘Name’ and ‘Price (excl VAT)’ are required.
Processing in Organization
If the information entered in the form should be saved in the Organization (you can make settings for this in ‘Data processing’), the section ‘Processing in Organization’ will appear.
Information entered in forms without payment are saved in the Organization directly after filling in. If payment is activated, you can choose to save the information in the Organization only after the payment is done. To choose this, check the box of ‘Save after payment’.
Invoice
If you chose to not link the form to the Financial Application, you will now see the section ‘Invoice’. Here, you can enter the information of your community, which will be placed on the invoice.
Numbering
Here, you can determine the numbering of the invoices using placeholders. Available placeholders are {{book-year}} and {{number}}. You can also add other placeholders.
An example:
form{{book-year}}.{{number}}
In this case, the invoice number will begin with ‘form’, indicating that the invoice originates from the forms module. Then it will indicate the book year and an ascending number, separated by a dot. Of course, you can adjust this.
Invoice customer fields
‘Invoice customer fields’ is also visible if you chose not to link the form to the Financial Application. Here, you can indicate for each part which field on the form contains the required information. This information will appear on the invoice.
Link to Financial
If you chose to link the form to the Financial Application, you will see the section ‘Link with Financial Application’. Here, you can select an (existing) invoice template from the Financial Application. The invoice will be constructed from this template.
Deactivate payment
If you want to convert the payment form to a standard form, simply deselect ‘Activate’ under ‘Payment form’.
