Step 4: Add content to the e-mail
The content you can post depends on the template you set up in step 3 and the blueprint on which this template is based. The following blueprints apply:
Mixed column
If you chose a mixed-column template that can be configured in Genkgo in Step 3: Template, follow the steps below:
Header
In the 'Header' tab you can set the 'Title' and 'Salutation' of your e-mail. This content will be placed at the top of your email.
Title
In the 'Title' tab you can determine which title you want to give to the message. This title is placed above the salutation. Here you can choose from:
- No title
- Title same as the subject of the email
- Custom title
If you choose 'Custom title', you can enter the desired title in the field below.
When you have filled in everything as desired, press 'save'.
Salutation
Here you can choose the desired salutation. You can choose from:
- As recorded in the Organization application. Read here how to set this up.
- formal
- Informal
- No salutation
When you have chosen the desired salutation, press 'save'.
Content
You can create multiple blocks. These blocks will be included in your e-mail one after the other. For each block you determine what kind of content you want to create. Which types you can choose depends on the applications in your package.
Standard block types are:
- Text
- Image
- Video
- List of Files
Application block types are (depending on your package):
- Vacant position. Organization application: Career module
- Event. Events application
Block type: Image
This block type allows you to place an image in a layout of your choice. The image is displayed in a selectable, homogeneous manner. You can combine several of these blocks.
- Source: select an image from the Files application
- Title: set the title of the image. This is for reference and will not be shown with the image in the email
- Placement: determine how the image is placed in the e-mail. You can choose from several layouts.
- Link (optional): set a link for the image. Readers who click/tap on the image will be redirected to this link.
- Caption (optional): Set a text as a caption. Depending on the "Placement" chosen by you, it will be shown with the image.
Block Type: Video
This block type makes it possible to place a video in an email. Since most email programs do not support direct videos, an image of the video is shown. After a user clicks/taps on this image, he/she is automatically redirected to a view of the email in the browser. There the video can be played.
In addition to recording a video (format: mp4) from the Files application, there is support for the following external sources: Youtube, Vimeo.
- Title: set the title of the video. This is shown above the video in the email.
- Source type: choose from which source you want to post a video: Youtube, Vimeo, MP4 from the Files Application.
- YouTube: Enter the full web address (url) of the video here. It is best to copy it from the address bar of your browser, for example: https://www.youtube.com/watch?v=xMYGPww1lRQ
- Vimeo: Enter the full web address (url) of the video here. It is best to copy it from the address bar of your browser, for example: https://vimeo.com/19624263
- MP4 from Files Application: Select the file of the video from the Files Application. If the file is not yet available, you can upload it from your own PC/Mac. Note: Only mp4 type videos are supported.
- Choose preview image: The system shows some frames from the video. Choose the frame you want to use as the preview image in the email.
- Caption (optional): choose a caption that will be shown below the title and above the preview image/video.
Block type: List of files
This block type allows you to create a neat list of links. You can use this, for example, if you want your readers to download one or more documents. The links to these files are listed below each other.
- In the task bar, choose "Add files".
- File: select the file from the Files Application. If the file is not yet available, you can upload it from your own PC/Mac
- Title: set the title of the file. This is the text that will be shown in the email. It is advisable to provide a clear, descriptive title. The file name itself does not appear in the email.
- Revoke on (optional): Set a date by which to "revoke" the file. After this date, the file can no longer be consulted by the recipient. The link is then no longer valid.
Block type: Vacant position
With this block type you can copy a vacant position from the Organization Application to your e-mail. This way you can easily include your vacancies in your emails.
- Vacant position: choose an item from the list. Is the item not available? First create it in Organization.
- Content: if desired, you can change the imported content of the vacant position here. The change only applies to the text of the email. The original vacant position remains unchanged.
- To include more than one item in your email, create a new block.
Block type: Event
This block type allows you to include an event from the Events application in your email. Registration for this event is then possible via Direct Ticketing.
- Event: Choose the event you want to insert. The content of this event will be copied.
- Show event image: Determine whether to show the image of the event
- Content: If desired, you can change the imported content of the event here. The change only applies to the text of the email. The content of the original event remains unchanged.
- Conditions for including invitation in e-mail (optional): Determine under which conditions the event should be included in an e-mail. This is determined per individual recipient.
Single Column
If you chose a single column template (setup in Genkgo) in Step 3: Template, follow the steps below:
Title
In the tab ‘Title’, you can give the message a title. The title will be placed above the salutation. You can choose from:
- No title
- Title is the same as the subject of the e-mail
- Custom title
If you choose for a customized title, you can enter the title in the field that appears below. Then click ‘save’.
Salutation
In this tab, you can choose the salutation type. You can choose from:
- As is recorded in the Organization Application. Read how to set this up.
- Formal
- Informal
- No salutation
After choosing the salutation, click ‘save’.
Column
Your e-mail may consist of multiple messages. You can give each message a title and a link.
This is how you can add content to the e-mail:
- Click on ‘Add’. A new screen will appear.
- Under ‘Properties’, fill in the title of the message. You may also choose to hide the title so that it will not be displayed in the e-mail. If you enter a link, the title of the message will serve as the link to that web address. This field is not mandatory.
- Write the message that you want to place in the e-mail in the text editor. You can segment your e-mail into multiple messages. These messages will be placed under each other to make the e-mail a whole.
- Placeholder - It is possible to include the content of profile fields in an e-mail. Each recipients will see the content of their own profile field. This makes it possible to personalize your e-mail for your recipients, for example by address them by their own name.
To include the content of profile fields, you need to use placeholders. A placeholder formulated between curly brackets: {{placeholder}}. For the content of a profile field in the Communcication application, the following format is required: {{organization:fieldname}}. You can find the field name in the Organisation application -> Settings -> Fields & properties -> correct object type -> click on a category -> column 'placeholder'. For example, the placeholder for the field 'display name' is {{organization:name}}.
- Placeholder - It is possible to include the content of profile fields in an e-mail. Each recipients will see the content of their own profile field. This makes it possible to personalize your e-mail for your recipients, for example by address them by their own name.
Important! Do you want to use a link to a website? To prevent your e-mail to be marked as spam by recipients, you should not include the URL in the text itself. The link tracker in the Communication Application can mark this as spam. What you can do, is making some of the text in your e-mail the link, for example: “you can find more information on our website”. Read more about adding links to a text. If you choose to place the URL in the text anyway, a warning will be displayed in the example.

When you are done with the message(s), click ‘next’ to go to Step 5.
Tip: Do you want to add an introduction to your message? Make the first message (choose for ‘Hide title’), and place your introduction at the top of your e-mail.
Tip: The text editor works the same as that of the Website Application.
Html
If you chose for ‘html’ in Step 3: Template, you can paste html code in step 4. There are many available services that offer html templates. Some examples are:
- MailChimp
- Unlayer
- BEE (beefree.io)
- Stripo email
- Campaign monitor

Html codes cannot be saved as templates in the application Communication. The code must be pasted again in each message.
